What is Day Care Desk? +

Day Care Desk is an all-in-one management tool built specifically for daycare directors. It replaces the spreadsheets, clipboards, and scattered files with a single web app for scheduling, training compliance, staff management, and more.

Who is Day Care Desk for? +

Primarily for daycare center directors who manage daily scheduling, compliance, and operations. It's also used by daycare company owners who need visibility across multiple locations, and regional managers overseeing a subset of centers.

How is this different from other daycare software? +

Day Care Desk is built for daycare from the ground up — not adapted from generic HR software. Classroom ratios, age groups, and training compliance are first-class features, not afterthoughts. Every feature is designed around the director's daily workflow.

Can I manage multiple daycare centers? +

Yes. Day Care Desk supports multi-center organizations from day one. Owners see all centers, directors see their center, and regional managers see their assigned locations. Switch between centers with a single click.

Pricing & Plans

Is there a free plan? +

Yes. The Starter plan is completely free and includes all core features for 1 center with up to 10 staff members. It includes the schedule builder, training tracking, staff profiles, classroom management, and attendance tracking.

What does the Pro plan include? +

The Pro plan ($29/mo or $290/yr) supports up to 5 centers with unlimited staff. It adds leave management, document management, announcements with read tracking, employee lifecycle events, shift templates, data export, and priority support.

Can I switch plans later? +

Yes, you can upgrade or downgrade at any time. When you upgrade, you get immediate access to new features. When you downgrade, your current plan stays active until the end of the billing period.

Do you offer refunds? +

We offer a 30-day money-back guarantee on all paid plans. If you're not satisfied for any reason, contact us within 30 days and we'll issue a full refund — no questions asked.

Features & Setup

How long does it take to get started? +

Most directors are up and running within a day. Create your account, add your staff and classrooms, and start building your first schedule right away. No complex setup or onboarding required.

How does the schedule builder work? +

Open today's schedule each morning, mark staff present or absent, assign them to classrooms with start/end times, enter expected child headcounts, and see ratio compliance in real-time. You can add breaks, lunches, and daily announcements, then publish so staff can see it. The whole process takes under 10 minutes.

How does training compliance tracking work? +

You set up a library of required trainings (CPR, Safe Sleep, etc.) with renewal intervals. When you record a staff member's completion, the system auto-calculates the expiration date. The dashboard alerts you when trainings are expiring in 30 days, already expired, or never completed.

Can staff see their own schedules? +

Once a director publishes the daily schedule, staff can view it. Full self-service features for staff (submitting leave requests, viewing their own profile) are planned for a future release.

Data & Security

Is my data secure? +

Yes. Day Care Desk uses row-level security, encrypted connections, and industry-standard security practices. Each organization's data is completely isolated. We use Supabase for our infrastructure, which provides enterprise-grade security.

Can I export my data? +

Yes, the Pro plan includes data export capabilities. You can export your data at any time.

What happens to my data if I cancel? +

Your data is retained for 30 days after cancellation, giving you time to export anything you need. After 30 days, it is permanently deleted from our systems.

Can I migrate from spreadsheets? +

Yes. If you're currently using spreadsheets, you can manually add your staff and training records as you set up. For Pro and Enterprise customers, we can assist with bulk data import.
